Scheduling Client Appointments with Appointment Management Software

Managing client appointment bookings is one of the most tedious tasks in business management. Yet it's also the most important one β€” because when it's well organized and optimized, it streamlines scheduling and makes managing appointments with clients much easier. Done well, it indirectly impacts your company's revenue.

In this post we cover the key topics that will help you automate and improve appointment management with your clients β€” turning it from a time-consuming activity into one that practically runs itself. That means your clients can autonomously book, cancel, or reschedule appointments any day, at any time.

If you don't have time to read the post right now, don't miss my video on my YouTube channel.

I'll walk you through all the details in a few minutes so you can automate this process.

What is appointment management software?

An appointment and client management system is a program that allows clients to book appointments in two clicks and in just a few seconds. In other words, it lets you automate the entire appointment booking and management process, improving your calendar.

This means no more scheduling by phone or email. There are two ways to book an appointment:

  • Directly on your company's website
  • Through a link to an external page that takes your clients to complete the booking online.

Appointment management software gives clients and prospects a convenient way to choose the time and date for their appointment. This helps improve customer service by making it easier to book, while also giving businesses more control over their calendar.

With this software, businesses can customize their site to display the services they offer and allow clients to quickly book what they're looking for. It also lets businesses track client preferences so future appointments can be tailored accordingly.

What features should appointment scheduling software have?

If you're thinking about using an appointment booking system with your clients, you'll find there are a lot of options on the market. To choose a solid one, keep in mind that a good appointment manager must have these features:

  1. Google Calendar integration: both yours and your clients'. Google Calendar is the most widely used, and many Android users can sync it with their phone.
  2. A customizable booking page where you can add your company logo and details.
  3. The option to pay at the time of booking, which is especially useful for consultants.
  4. An automated email system that notifies you when a new appointment is created, an existing one is modified, or a scheduled one is cancelled.
  5. The ability to customize available days and time slots in a flexible and dynamic way.
  6. Data export to save to your CRM (even better if there's a direct integration). If you're not sure what a CRM is.

Online booking software can also integrate with features like SMS reminders, so you can ensure your clients are aware of upcoming appointments. They can also view available time slots and book based on their preferences. Using appointment scheduling software ensures your clients have the best possible experience when booking with you.

Benefits of appointment scheduling software

Using appointment scheduling software offers many advantages for businesses and individuals alike. It's designed to help users save time and hassle when booking, scheduling, and managing appointments. With this software, online appointment booking is available 24 hours a day, 7 days a week β€” meaning clients can book from any device at any time.

Good software lets you optimize your calendar β€” it not only simplifies appointment management but also handles automatic reminder emails, sending notifications about upcoming events. Additionally, the online booking system helps organize client data in one place so users can easily access information about any client at any time. Finally, it streamlines the entire process by automating repetitive tasks that would otherwise take up valuable time.

Comparison: the best online appointment booking tools

There are several platforms that allow you to manage appointments with your clients easily and partly for free.

Here are 3 I've personally tested β€” the last one is what I'm currently using in my business (not sponsored):

  1. Calendly. The most well-known tool, with basic features for free and advanced features on paid plans.
  2. TidyCal. Not free, but costs $29 lifetime β€” meaning no monthly or annual payments. You pay just $29, once.
  3. The one I'm currently using. Like Calendly, it has free and paid features, but the free tier is enough to do a lot of things.

If you want to do a thorough job managing your client portfolio, don't stop at just giving clients a way to contact you. Go further and do these two things:

  • Store data in a CRM so both client details and their activity with your business are kept in a database.
  • Set up an automated pre- and post-call email sequence to guide the client through the service they're about to receive β€” and of course to remind them of their scheduled appointment so they don't no-show.

You've taken one more step in your business growth.
